Communication and meetings
1. Slack (free plan)
The professional WhatsApp your team needs. Channels by project, department, or topic. You search for something said 3 weeks ago and actually find it. The free plan has message history limits, but for teams up to 10 people it works well.
2. Google Meet
Video calls for up to 100 people, free with a Google account. Nothing to install. Share the link and you're set. For meetings with clients, vendors, or the remote team, it's enough.
3. Loom
Record a video of your screen with your face in a corner and share it with a link. Perfect for explaining processes, giving visual feedback, or sending updates without scheduling yet another meeting. The free plan gives you 25 videos.
Project and task management
4. Trello
Visual boards with cards you move column to column (To Do → In Progress → Done). So simple anyone learns it in 10 minutes. Perfect for tracking projects without unnecessary complexity.
5. Notion
A document, a database, a wiki, a board... all in one. It takes some effort to get started because you can build almost anything with it, but once configured, it replaces five different tools. The free plan is generous for small teams.
6. ClickUp
Like Trello but with more features: Gantt charts, time tracking, built-in documents. The free plan is surprisingly complete. If your team needs more structure than Trello, try it.
7. Todoist
For personal task management. Keyboard shortcuts, calendar integration, projects, and labels. Not for managing teams, but for organizing your own daily work, it's flawless.
Design and visual content
8. Canva (free plan)
Graphic design for people who aren't designers. Templates for presentations, social media posts, flyers, business cards. Panamanian brands with a digital presence almost all use Canva. The free plan has more than enough to get started.
9. Figma (free plan)
If you need something more professional than Canva — website mockups, app interfaces, UI designs — Figma is the industry standard. The free plan allows up to 3 projects.
Storage and documents
10. Google Drive (15 GB free)
Documents, spreadsheets, presentations, file storage. If your company isn't using Google Workspace, at least use the free accounts. Real-time collaboration, comments, version history.
11. OneDrive (5 GB free)
Microsoft's alternative. If your team already uses Word and Excel, OneDrive gives you cloud collaboration without switching ecosystems.
Accounting and finance
12. Wave
Free accounting and invoicing for small businesses. Not as well-known in Panama, but works perfectly for basic bookkeeping, invoicing, and expense tracking. Ideal for startups and SMBs.
13. Excel Online (free)
If you don't want to learn a new tool, the free browser version of Excel gives you the essentials: shared spreadsheets, formulas, basic charts.
Automation
14. Zapier (free plan)
Connect apps to each other without coding. For example: when someone fills out a form on your website, automatically create a Trello task and send a Slack message. The free plan allows 100 tasks per month.
15. IFTTT
Similar to Zapier but simpler, oriented toward everyday automations. "If I get an email with an attachment, save it to Google Drive." "If I post on Instagram, cross-post to Facebook." Useful for maintaining a digital presence without manual work.
How to start without overwhelming yourself
Don't try to implement all 15 at once. Pick 2 or 3 that solve your most urgent problems. If your chaos is communication, start with Slack and Google Meet. If it's project tracking, go with Trello. If you need a visual presence, Canva.
Once those are working, add the rest gradually. A tool that nobody uses is worthless.
